Appleyard Tutoring (“we”, “us”, “our”) is a sole-trader tutoring business run by Charles Appleyard. This policy explains what personal information we collect, why we collect it, and how we look after it. We are the data controller for the information described here.

Information we collect

  • Contact details you provide (student and parent/guardian name, email address, phone/WhatsApp number).
  • Enquiry details about the tutoring you want (subjects, exam boards, level, goals, availability, online or in-person preference).
  • Messages you send us — including via our website forms and our WhatsApp assistant — and our replies.
  • Records of tutoring sessions, scheduling, and (where applicable) invoices and payments.

How we use it

We use your information to:

  • respond to enquiries and arrange a free taster session and ongoing tutoring;
  • plan and deliver lessons, send reminders, and organise scheduling;
  • issue invoices and manage payments;
  • keep in touch about your tutoring (e.g. changes to arrangements or pricing).

Our lawful bases are your consent (when you contact us) and our legitimate interest / the performance of our tutoring arrangement with you. We do not sell your information or use it for advertising.

WhatsApp

We use the WhatsApp Business Platform (provided by Meta) to answer enquiries through an AI assistant. When you message us on WhatsApp, your messages and number are processed to reply to you and to record your enquiry. Meta processes WhatsApp messages under its own terms and privacy policy.

Service providers we share with

We use trusted providers to run the business, who process data on our behalf:

  • Microsoft (Teams) — online lessons, meeting links and lesson materials.
  • Meta (WhatsApp Business Platform) — messaging.
  • Cal.com — booking and scheduling.
  • FreeAgent — invoicing and accounting.
  • Google (Gemini) — generating lesson flashcards from session content.
  • Our hosting and database providers (Vercel, Supabase, Upstash) — running our website and storing records securely.

How long we keep it

We keep your information for as long as we are providing tutoring and for a reasonable period afterwards (including where we must keep financial records for tax purposes). You can ask us to delete your information at any time, subject to those legal obligations.

Children

Much of our tutoring is for under-18s. We collect a child’s information from, and communicate primarily with, a parent or guardian, and we follow safeguarding practices (for example, a parent being present for in-person sessions).

Your rights

Under UK data protection law you can ask to access, correct, or delete your information, object to or restrict its use, and withdraw consent. To exercise any of these, or if you have a concern, contact us below. You may also complain to the UK Information Commissioner’s Office (ico.org.uk).
